Terms of Service

These terms govern the use of Coffer. Accepting an invitation to a workspace means accepting them. They are written to be read, not to be survived.

Who provides the service

The service

Coffer is a shared inbox: a workspace where a team connects the mailboxes it already has and answers the mail in them together. Every conversation has an owner, a state, tags and internal notes. Replies go out through the mailbox the mail came to.

Mailboxes are connected over IMAP and SMTP today. Connectors for Gmail and Microsoft 365 ship with the first release; until then those mailboxes connect through their IMAP and SMTP access.

Coffer is in private preview. Teams are let in one at a time, by invitation. What the preview offers is what these terms cover - we do not promise features that are not there yet, and we say so on the site.

Storage

A workspace comes with 50 GB for the mail kept in it, attachments included. That is the whole workspace, not each mailbox or each person.

A single attachment larger than 25 MB is not kept: the message and the file name stay in the thread, the file itself does not. The same happens to new attachments once the workspace is full. Nothing already stored is deleted to make room, and no mail is lost - only the file is missing, and the thread says so.

You can see how much is used under Settings, Workspace. If you need more, write to us and we will add it for a fee agreed before anything is charged.

Accounts and access

You sign in with a link sent to your e-mail address or with a Google account. There are no passwords, and so nothing to recover.

One e-mail address belongs to one workspace. A workspace owner may invite people to it and revoke invitations that have not been accepted. The owner is responsible for who they invite: every member sees every conversation in the workspace.

You are responsible for keeping your e-mail account and your Google account secure. A sign-in link works once and expires; do not forward it.

Mailboxes you connect

You may connect only a mailbox you are entitled to use for this purpose - your own, or your organisation's with its permission. Connecting a mailbox gives us its credentials; we use them only to read new mail into the workspace and to send the replies your team writes.

You remain bound by the terms of your mail provider. If a provider requires an app-specific password or a particular setting for third-party access, obtaining it is your responsibility.

You can disconnect a mailbox at any time. Its credentials and every message synced from it are deleted with it.

E-mails you will get

Holding an account means we send you what the service needs to work: sign-in links, invitations, and notices about anything that affects your workspace, such as a change to these terms or to prices. We send no newsletters and no offers.

We never e-mail your workspace's contacts on our own behalf. Their addresses belong to your relationship with them, not ours.

Prices and payment

Two plans, each one flat price for the whole workspace regardless of how many people are in it: Starter at 29 USD per month or 290 USD per year, and Team at 79 USD per month or 790 USD per year. Cancel any time: cancelling stops the next renewal and leaves your access running until the end of the period you already paid for.

Early access price. A workspace admitted during the private preview pays 15 USD per month or 150 USD per year for Starter, and 39 USD per month or 390 USD per year for Team. That price is locked to the subscription for as long as it runs without interruption: if we raise prices later, what you pay does not change. A subscription that lapses and is started again pays the price in force at that time.

Billing opens with the first release. Workspaces admitted during the private preview are not charged until then, and their owners are told by e-mail before the first charge, with enough notice to leave without paying anything.

Prices are shown before you pay and may be shown converted to your local currency. When billing opens, payments will be handled by a payment provider acting as merchant of record; the checkout names it, and this document will be updated to name it too.

Refunds and withdrawal

If you are a consumer in the EU, you normally have fourteen days to withdraw from a distance contract. Because access begins immediately, you will be asked at checkout to agree that performance starts at once and to acknowledge that this ends the right of withdrawal once the service has been fully supplied. If you would rather keep the fourteen days, do not tick that box - access then starts after the period ends.

Outside that, we refund on request within fourteen days of a payment if the service has not worked for you. Write to us; we do not make people argue for it.

Your content

You keep every right in the mail in your workspace and in what your team writes there. We take only the licence needed to store, display, back up and transmit it as the service requires - nothing broader, and it ends when the content is deleted.

You are responsible for what your team sends from the workspace, as you would be for anything sent from those mailboxes directly. If you are given notice of illegal content in your workspace, remove it.

Acceptable use

Do not use the service to:

  • send bulk, unsolicited or deceptive mail through a connected mailbox
  • connect a mailbox you are not entitled to use
  • publish or transmit illegal content, or content that infringes someone else's rights
  • harass a person, or target a private individual
  • probe, scrape at scale, or attempt to bypass the sign-in and rate limits
  • impersonate another product, company or person

We may suspend a workspace that breaches this, and where it is safe and lawful to do so we will tell the owner why.

Termination

You may disconnect any mailbox from the panel at any time. To delete a whole workspace during the preview, write to us and we do it within a few days; deletion removes the workspace, its members, its conversations and the credentials of every mailbox in it.

We may terminate an account for a serious or repeated breach of these terms, or if required by law.

If, once billing is open, a workspace's plan lapses, the workspace goes read-only: everything stays visible and nothing is lost, but no new mail is synced and no replies are sent. We tell the owner by e-mail before anything is deleted, and paying brings the workspace straight back.

Liability

The service is provided as-is. To the extent the law allows, we are not liable for indirect or consequential loss, lost profits, lost data, or for mail that a provider delays, rejects or delivers to spam.

Nothing here limits liability for intentional harm, gross negligence, personal injury, or any liability that cannot be excluded under Polish law. Where liability does arise, it is capped at the fees you paid in the preceding twelve months.

Consumer rights

If you use the service as a consumer rather than in a business capacity, mandatory consumer protections under Polish and EU law apply and nothing in these terms reduces them.

Governing law

Polish law governs these terms. Disputes go to the courts having jurisdiction over the operator's seat, except where consumer law gives you the right to sue elsewhere.

Changes

Material changes are announced by e-mail to workspace owners before they take effect. Continuing to use the service after that means accepting the new version.
